REGISTRATION

Registration closes at noon on Tuesday 17 September 2019. ALL regional council ex-fficios need to register their attendance and additional requirements, such as reasonable access, childcare and specific dietary requests.

This online registration is for individual ex-officios. Ex-Officios include elected regional service group, committee, network and SOG representatives, regional NEC members, National SOC rep, Labour Link Chair, Strategic Committee Chairs, Co-Convenors and Deputy Convenor. If this does not apply to you, please contact your branch to register as a branch delegate or a branch observer.

FAQs

Why do I need to register to attend this meeting?

Meetings where issues are debated, reported on, decisions made, motions passed, and elections carried out, need to be quorate, so it's important that representatives from sectors, groups and branches attend these meetings to represent UNISON South West members. Ex-Officios have been elected to or volunteered for such a position to represent South West Members or committees, or in some cases, ie, SOC, carry out an important role in ensuring the meeting takes place in accordance with UNISON's rules.

On a practical level, registration of your attendance also means we can properly set up the venue and/or conference and meeting rooms, and ensure that refreshments and catering is provided for the correct number of attendees. It also means that we can be greener by providing an appropriate amount of documentation on the day.

Should I register as an Ex-Officio or a branch delegate?

Ex-Officios include the following:-

  • NEC members (general, women's and low paid women's seats)
  • Regional and Deputy Convenors (or Co-Convenors)
  • National SOC rep
  • Elected Service Group, SOG, Committee and Network reps (often the Chair and/ or Vice Chair or Co-Chairs, including Retired Members' Committee rep and Young Members' Advisory Group rep)
  • Strategic Committee Chairs
  • Labour Link Chair

If you do not fall into one of the above categories, and wish to attend this meeting, contact your branch. They can register you as a branch delegate or observer (subject to proportionality and eligibility).


What if I need to cancel?

You can cancel using this online form right up until online registration closes, or send an email directly to the region (see contact details below). If this affects accommodation, you should contact Crodye Bay directly. Cancellations within 7 full days of the meeting will be charged at the full rate. Please bear in mind that it is the branches responsibility to contact Croyde Bay should any accommodation changes be required.

I need to stay overnight; can I have accommodation?

For Regional Council ex-officos, when meetings are due to start early or a late finish, and you have some distance to travel, or have reasonable adjustment needs, accommodation may be requested. Each request will be assessed individually. Please note the booking process applies to everyone who wants to stay overnight - you have to book their accommodation directly with Croyde Bay, 01271 890890.

On this occasion Croyde Bay have been supplied with some names to cross check against bookings requests. If you do need to stay please note any extras will need to be paid for by yourself at the time of booking.

When you contact Croyde, if your name isn't on the list, please email Jenn Gollings, c/o southwest@unison.co.uk, using the subject heading "Croyde Bay Regional Council", and detail your name, attendance capacity, and where you're travelling from. Where accommodation is agreed, the region will contact you and Croyde Bay. You should then contact Croyde Bay again to make your booking.

Is lunch provided?

Yes, lunch will be provided, taking into account dietary requirements, subject to notification in advance of the meeting. However, if details are not submitted by the registration deadline, Tuesday 17 September 2019, we cannot guarantee that any specific food intolerances or allergies can be catered for.

What are my transport options?

If travelling by car, there is ample parking on site. The nearest train station is at Barnstaple. Please click HERE for more travel information. If you think you’ll have difficulty getting from the station to the venue, please let the region know and we may be able to arrange transportation.

What do I do if I need childcare, need to bring a facilitator or have access requirements?

Should anyone have any childcare requests, need to bring a facilitator or have access requirements, such as large print, documentation required on a specific coloured paper, please ensure those details are provided using the appropriate online forms.

When is the agenda issued?

Further details about Regional Council, including the agenda, will be sent to all registered delegates approximately ten days ahead of the meeting.
